Commission: Organising Shoot

Organising my shoot dates was actually more challenging than it would first seem. I needed to film on days where there were no production companies using the studios. Their equipment would still be there and they would still be leasing them so I couldn't film inside the actual studios regardless, but it would be filming on less busy days so it would make accessibility elsewhere much easier. 
I sent a simple email to Josh Sergeant, the studios events manager, stating what and where I wanted to film and the dates I am available to film. I though listing what I wanted and all the dates available would make it easier for him to compare with his and the studios own schedule to see what two days are the most convenient. In my research I came across a website on the art of scheduling a film for dummies and they said "you need to break down all the elements of your film." So this is what I did in the email. I said: 


Hi Carly and Josh,
With regards to filming dates I was wondering what days would be agreeable to you? I need to shoot:

Post production facilities (dubbing, gallery etc)


Dressing Room



Green Room



The Reception



The restaurant 



Viewing Suite



Diner 



Satellite Dishes Outside


It could take up to two days to film all this so if you could pick out a couple of the following that are convenient to you that would be great.

Thursday 30th November 


Saturday 2nd December 

Sunday 3rd December 

Monday 4th December 

Wednesday 6th December 

Thursday 7th December

After sending this email and agreeing on the dates, I had a meeting with Helen and she suggested I also ask to film a de-rig of the studios and make sure I can film some actuality to give the studios the best light, so it looks like the lively and active place it is. In this I said:

Hi Josh,

Just wanted to clarify a few things with you, just getting together my shot list and really keen to paint a portrait of the studios and how lively an active they are, and the variety of expertise you can offer. In order to do this I am going to need to help with setting up some actuality. This could include people working in gallery, moving stuff around and rigging up lighting etc.

This is just a basic wish list, do you think its possible to help with any of this at all. When are you doing a de-rig for Take Me Out, would it be possible for me to come along and film this? If I have shots of the studios being empty I worry it wont look as active as what it is at its full potential.
Hope you can help, and sorry to keep bombarding you with questions.

Because its awkward shooting in the studios it would be difficult to even film the de-rig, and Josh explained there’s about 9 artics and a lot of heavy machinery and Jools don’t even let him in the studio. I understand and respect this and will find other ways around it when it comes to shooting and editing. A lot of the studio element will be taken up with an animation graphic of the studio split apart into a skeleton-like structure.
